The Table Contract -> Comments/Approvals
As described before the configured email is sent to the distribution list configured in the master data module Workflow. Besides the preconfigured email title and text, the email contains a link to a web page. By clicking on this link the user is taken to a web page on which the user needs to log in to authenticate himself. After login the user sees a screen, which allows the user to open the document as PDF. The user can view, store and print the document using standard PDF functions. The user can then enter a comment into a dedicated field in the web page. The web page offers also buttons to approve or reject the document version. By pressing one of the buttons (after confirmation), the user id, the comment, the approval or rejection, together with the current time is stored into the detail table Comments / Approvals as entry to the particular document version.
If the contract user has reviewed all approvals and comments, the user can execute the proposed status change by manually changing the Current Status of the contract. If the workflow is complete or shall be stopped for other reasons, the user may press the button Stop Workflow . If it shall be started again at a later point of time, the user may press the button Start Workflow .
For some workflows it is required that a user with the corresponding permissions can bypass the formal approval flow. This can be done by changing the Current Status directly.
If a contract shall be sent to a customer, the contract user selects the version of the contract the user wishes to send and presses the button View / Print Document. Then the user may choose Send as email from the file menu of the PDF viewer.
If Google Chrome is used, it must be ensured that the plugin Chrome PDF Viewer is deactivated in chrome://plugins.

This time stamp is set automatically if the feedback was provided via the Quick Feedback Application. Otherwise, it can also be set manually. In case the field Responded At is filled, all other fields are locked for editing. By deleting the entry in Responded At the following fields are unlocked for editing again: Distribution List, User, Feedback. |
