The Module Services Flights
The software module Services Flights is used for the recording of services provided for your customers and the financial calculation of service fees and charges before invoicing. This chapter gives a brief introduction about the tables and functions of Services Flights.
Note that the service recording module is subdivided into two separate sub-modules, one for Services Flights ( ) and one for Services Events ( ). This is due to the fact that flights require a different recording process and structure than non-flights.
After a brief introduction about functionalities common to both sub-modules, the following chapter concentrates on the functionalities of the service recording for flight events.
Important notice: If the optional service recording module MSR (Mobile Service Registration) is used, operational services are normally recorded by staff on the apron with mobile data capturing devices and automatically entered in Services Flights. Here, only the commercial post-processing of these services has then to be done. General fees and non-operative services (e.g. parking fees etc.) are always recorded exclusively under Services Flights as described in the following chapters.
Service recording under Services Flights works on the basis of so called Events, e.g. a specific flight for which ground handling services are provided. Thus, in a first step all Events for which any services are provided, are captured in the corresponding table. There are two different categories of events, namely flight events (i.e. individual flights) or non-flight events (i.e. any user-defined events not related to a flight). Each of these is managed in a different sub-module. All core data for flight events is automatically imported and constantly updated from the module Flights. Data records for non-flight events can only be created manually.
The master data table of Services Flights for flights is Flight Events. Here, all flight events and their details are displayed. All other tables in Services Flights are used to manage and record the services provided for individual events.
In order to view and edit services related to a specific event, mark the event data record in the table Flight Events by clicking on it and then switch to one of the subordinate tables. Here, you can find all service-related data for the selected event only.
It is very common to make arrangements with airlines covering the multitude of handling processes required for individual or regular flights. This is usually done with handling contracts including predefined services to be provided as well as a special pricing. These contracts can be designed under Contract. The application also features an automated software process, which scans the database for handling contracts applicable to individual flight events. If one or more applicable handling contracts are found, the contract is automatically listed in the table Flight Events → Contracts. Here, it is also possible to assign contracts manually.
All services included in a contract are listed in the dependent table Contract → Contract Items. To access this list, mark the corresponding contract in the table Flight Events → Contracts and then switch to Contract → Contract Items. There are basically two different kinds of contractual services: a) standard contract services, which always are provided and accounted for and b) optional/additional contract services, which are also included in a contract at special conditions but only provided if explicitly requested by customer. Optional services which have been provided for the customer can be recorded in the table Flight Events → Additional Services, where a complete list of all optional services contained in a contract is available.
Extra services provided for the customer beyond the scope of applicable contract(s) can be recorded in the table Flight Events → Special Services. These are the only services available for events with no contract assigned and non-flight events.
The table Flight Events → Services Details lists additional data about services for a flight event, e.g. from which contract price configuration a specific service might result etc. Note that this data is only available for services which are handled differently from normal standard procedures.
In addition to the recording of services and the price calculation, Services Flights also offers a function for the creation and printout of invoices for cash-paying customers.
The following chapters give a detailed description of all tables and functions featured by Services Flights for flight events.
